Privacy Policy
Effective and last updated: October 30, 2026 · Version 1.0
This policy explains how personal information is collected, used, retained and disclosed through CleanOS, our internal cleaning-business management application.
1. Who operates CleanOS
CleanOS at seattlebestcleaning.com is operated by ABC Solutions LLC, doing business under the Always Best Cleaning Solutions brand (“we,” “us,” or “our”). Our company website is alwaysbestcleaning.com. We are responsible for the customer and workforce information we use to run our cleaning business. CleanOS is an internal tool for authorized personnel; it is not an open marketplace or a public directory of customers.
This policy covers the application, including information about prospective customers, customers, authorized users and cleaning personnel entered into it. The company website and external platforms may have their own notices and terms. This policy does not replace those platforms’ privacy policies.
2. Information we handle
- Customers and prospective customers: names, phone numbers, email addresses, service addresses, contact preferences, inquiries and notes relevant to providing a requested cleaning service.
- Services and scheduling: cleaning requirements, property characteristics supplied for an estimate, selected extras, estimates, appointment dates, reservations, assigned cleaners, recurring visits, access and parking instructions, and service feedback.
- Communications: messages, internal notes and message drafts entered into CleanOS. If an external communications integration is enabled, this can also include authorized lead and conversation identifiers, message content, participants, timestamps and available communication events.
- Workforce and accounts: staff names and contact details, roles, team membership, work schedules, recorded Start/Finish times, approved work time, compensation calculations and relevant operational or quality records.
- Financial records: service prices, invoices or invoice entries, recorded payments, refunds, costs and compensation entries. CleanOS currently records these business transactions; it does not itself collect full payment-card numbers, card security codes or online-banking credentials.
- Technical and security information: account identifiers, password hashes, session records, login attempts, audit events, and server request information such as IP addresses, request times and browser details. Passwords should never be placed in ordinary messages or customer notes.
Addresses or coordinates may be used for location verification or travel estimates when the optional mapping module is enabled. The application does not currently continuously track a cleaner’s live GPS location. Please do not enter unrelated sensitive information, such as government identification numbers, medical records or payment-card details.
3. Where information comes from
Information comes from you, our authorized staff, customers requesting services, business records, and platforms or service providers that we are authorized to connect. Internal notes and operational records may be created by managers or cleaners while arranging or carrying out work. We do not use unauthorized scraping to obtain platform data.
4. Why we use it
- Respond to service inquiries, prepare estimates, arrange appointments and communicate about the specific service requested.
- Assign work, maintain schedules, provide necessary service instructions and record service execution.
- Maintain customer relationships, address feedback, verify transactions and calculate operational reports and compensation.
- Authenticate users, enforce role permissions, prevent misuse, investigate incidents and maintain reliable service and backups.
- Meet applicable legal, accounting and recordkeeping obligations and handle disputes or lawful requests.
We use information as reasonably necessary for these purposes and, where required, obtain consent or honor applicable choices. We do not sell personal information or use CleanOS customer data for cross-context behavioral advertising. CleanOS currently does not use customer messages or records to train an AI model.
5. Who can receive information
Authorized managers and personnel receive information appropriate to their duties. Assigned cleaners receive the information needed for their visits; application permissions restrict other customer, financial and internal information. Access instructions and codes are restricted by assignment and time-based access rules.
We may disclose necessary information to infrastructure, hosting and support providers that help operate the application. Our deployment currently uses Namecheap VPS infrastructure. If enabled, Geoapify may receive an address or coordinates for geocoding or routing. Authorized communications platforms receive the information necessary to provide their connected features. We may also disclose information where legally required, to protect people or the service, with your instruction or consent, or in a lawful business transfer subject to appropriate protections. We do not publish customer records as part of the public application pages.
6. Thumbtack, Quo and other integrations
As of the date above, the Thumbtack and Quo API integrations in CleanOS have not been activated. Local test conversations are not external messages and are not sent to customers. The existence of an integration settings page does not mean a provider is connected.
If a connection is enabled later, an authorized account owner must approve the connection and its permissions. Depending on the approved features, CleanOS may receive leads and messages, send messages at an authorized user’s direction, and exchange permitted appointment or job-status updates. Only data needed for the authorized business purpose should be accessed or transmitted. Provider-origin data is subject to the applicable provider terms in addition to this policy; information received for a service inquiry must not be repurposed for unrelated marketing.
You can revoke a connection using the provider’s available account controls or contact us for assistance. Revocation stops future authorized access; it does not necessarily erase independently obtained service records or information a provider must retain. Provider-only data will be removed as required by the applicable provider terms and law, including applicable deadlines, unless an independent lawful basis permits retention. Thumbtack and Quo remain responsible for their own platforms’ processing. See Thumbtack’s Privacy Policy and the relevant provider’s published privacy notice.
7. Cookies and browser storage
CleanOS uses a session cookie for authentication. Browser storage may keep interface preferences, conversation position and an unsent draft so that users can resume work. Drafts can also be saved to the application server for that authorized user and channel. These functions support application operation; CleanOS currently does not include third-party advertising trackers or an advertising-cookie program. External websites or enabled providers may apply their own cookie practices.
Clearing browser storage or using a shared device can affect drafts and sessions. Sign out after using a shared device. Removing browser data does not delete records already saved to our server.
8. Retention and deletion
We keep information for as long as reasonably necessary to provide and document services, maintain the employment or contractor relationship where applicable, comply with legal or accounting obligations, resolve disputes and protect the service. The period depends on the information and purpose; it is not an indefinite authorization to keep unnecessary data. Restricted audit, transaction and service-history records may need to be retained even when a contact is archived or corrected. Archiving a record in the interface is not the same as deleting it.
Scheduled server backups currently have a 14-day retention policy. A deleted record may remain in protected backup copies until they expire; copies retained separately for an incident, restoration or legal requirement may be kept longer when necessary. If a backup is restored, applicable deletion requests must be reapplied. Contact us to request deletion or review of retained information; there is currently no public self-service account-deletion page.
9. Security and processing locations
We use measures appropriate to an internal business application, including HTTPS, authenticated accounts, role-based access, restricted server and database access, audit records and backups. No service can guarantee absolute security. Report a suspected account compromise or inappropriate disclosure using the contact below.
Information may be processed where our authorized personnel and service providers operate, including the United States. Where applicable, processing across borders is subject to the protections and requirements of relevant law. We do not claim a privacy certification or international-transfer framework that we have not obtained.
10. Your requests and choices
Depending on your location and applicable law, you may have rights to request access to, correction of, or deletion of your personal information, or to object to or restrict certain processing. You may also withdraw consent where processing relies on consent. Send requests to alwaysbestcleaningsolutions@gmail.com with “CleanOS privacy request” in the subject. We may need proportionate information to verify identity or authority, and may be required or permitted to retain particular records. We will review and respond within applicable legal requirements. Do not send access codes, passwords or full payment-card details with a request.
Service communications can be necessary to arrange an appointment. Tell us your communication preferences or an opt-out request; we will handle it consistently with applicable law and the relevant communication channel. We do not retaliate for exercising applicable privacy rights.
11. Children and changes
CleanOS accounts are intended for authorized adults, not children under 13. We do not knowingly collect children’s personal information through account registration. Contact us if you believe such information has been entered so that we can review it. We may update this policy when our features or practices change and will update the date above. Where legally required, we will provide additional notice or obtain consent before a materially different use.
